Sample 'Hide Details' and 'Private | Public Details' Calendars

KeepandShare calendars provide unique and powerful text-based ways to embed copious details in your calendars. This page describes how you can use square brackets "[" & "]" to hide details.

Below are two embedded sample calendars that display a public view of hidden details. See these help screens to learn more on 'Hide Details' and 'Private | Public Details'.

Hide Details

You can 'hide details' in your calendar by including the details inside of the square bracket characters: "[" and "]". This is a great way to keep your onscreen and printout calendar free of clutter, while still using KeepandShare's unlimited text entry to put gobs of details right in your calendar, next to the events themselves.

In the below calendar you can see hidden details wherever there are "*" characters. Just hold your mouse over a "*" and the details will appear. Or click in any of the day boxes, and the details are shown in the pop up window.

As an example, for the day of March 8th, the text that was entered by the calendar owner was (we've bolded the "[" and "]" to make them easy-to-spot, but you don't need to do this):

11:30 Surprise goodbye luncheon for Jennifer [restaurant # is 415-345-4343; 234 West Street; John, Mary, Bob, and Sue have confirmed, Heath says maybe, Sally is a definite no]

2:00 - 3:00 first Alpha project meeting [Sam will bring prospectus & project plan; Henry to bring list of questions from customers; George will have full correspondence from 234alpha@hotmail.com and other input, all correlated ]

4:00 - meet Suzy for Lattes

Look at March 8th in the calendar below and notice how all the text enclosed by square brackets "[" and "]" turns into a single *. Mouse over the '*' and you'll see the hidden details appear as a small pop up!

Private | Public Details

A more advanced version of hide details allows you to specify both 'private' and 'public' versions of the details by placing a vertical bar "|" inside of the square brackets. The text to the left of the "|" is private to and accessible only by users who have edit rights to the calendar - probably you and perhaps a few of your staff. The text to the right of the "|" are public details, and are displayed to all viewers of the calendar.

In the below calendar you can see private | public details used. In this calendar a Chiropratic business is displaying a public calendar to make it easy for customers to see when there are open, or un-reserved time slots. What is unique is the office staff at the Chiroprator's office can note down private information for each appointment.

As an example, for the day of July 6th, the text that was entered by the user is:

9:00-10:00 [ Sarah Smith, 415-311-5432 | booked ]

10:00-11:00 [ | open ]

11:00-12:00 [ Lucy Jones, 415-346-6544, jones@hotmail.com | booked ]

1:00-2:00 [ | open ]

2:00-3:00 [ | open ]

3:00-4:00 [ Hal Broken, 510-433-1232, hal23@aolcom, needs to see Samantha | booked ]

4:00-5:00 [ | open ]

Use your imagination, private & public details can be used for many different purposes beyond this example's public appointment schedule.
