Add Scheduled Events

KeepandShare supports events such as appointments, meetings, birthdays, weekly meetings and the like to your calendar.  Events can be either "one-time" or "repeating".  You can even have events send you and your friends email reminders ahead of time.

Creating Events

  • To create an event click on the "" in any day box.
  • OR, click on the 'Event' button in the calendar title bar.

Editing Events

  • To edit an event, click on its text in your calendar. It will open in the event dialog. Make changes and click 'OK'.

How long? Events are meant to be short. The text you enter into the event is limited to about 200 characters (as few as 30 in certain foreign languages). If you want to write a larger amount of text, you should click in the main text area of the day.

Changing Only One Day of a Repeating Event

When you edit an existing repeating event, you are given the option to apply your change to only that one day of the event, or all days in the event:

Deleting Events

To delete an existing event, click on its text in your calendar to open the event editor. You will see these buttons:

'Delete Day' will delete just that single day from the repeating event, but leave all the other days intact. 'Delete' will delete the entire repeating event.

The Event dialog allows you to edit events:

  1. Click on the event in your calendar to edit an existing event.
  2. Type or edit the name & description in the top text box (put your detailed notes inside of "[" and "]" to hide details).
  3. Enter a time such as '10:30 am' to your event to sort it in time order.
  4. Click on the repeat drop down to choose whether the event repeats annually, monthly, weekly, daily, or once.
  5. The event text box holds up to 200 characters of text!
  6. Choose a color for the event by clicking on the colored dots.
  7. Choose dates with the small calendar icon.
  8. Click on sticker to add a sticker icon to your event.
  9. Click 'OK' to save the event; click 'OK & New' to save and quickly create another event.

Add a Start Time to Events

Type your event's start time any place in the text of your event and KeepandShare will display the event in sorted order. Allowed time formats are:

  1. hh:mm such as '10:30' or '23:45'
  2. h:mm such as '7:30'
  3. You can put 'am' or 'pm' immediately after the time
  4. You can also use just the hour number so long as it is followed by 'am' or 'pm', as in '3am' or '11 pm'
  5. The time may be any place in the event's text; e.g., at the beginning as in '7:15 am meet for breakfast' or elsewhere as in 'Tea with John 3:15'
  6. If the time does not have 'am' or 'pm' and it is before 7, then it will be assumed to be 'pm' time (since few people schedule events at 4 in the morning!)
  7. If you want to hide the time of your event, enclose it in the Hide Detail square brackets '[' and ']'. This can be a cool trick if you want your lunch plans to sort to the middle of the day but you don't want them to have a '12:00' show up.
'Force first': put '@' as the first character in your event and it will sort to the first position of all events. The '@' is not shown in your calendar.
Order of events: events without a start time or '@' are listed in the order they are created.

'Once' or Repeating?

Events can be once or repeating. A once event only has a 'Start' date. An example is a phone call scheduled for Tuesday at 3 pm with Jim. A repeating event recurs on a daily, weekly, monthly or annual basis and has an 'Ending on' date later than its 'Starting on' date. E.g., if you have a 4 day trip you can enter an event that is daily and ends 4 days after it starts.

'Once' (One-Time) Events

Click on "" in any day box of your calendar. When you click it, the dialog defaults to 'Once' has the Start Date set. This makes it very easy to set an one-time event on a single day.

Repeating Events

Use the 'Repeat' dropdown' to choose a repeat interval and pick Start and End dates. If the End Date is left blank, the event repeats 'forever'.

Annual events provide an option 'Every' that allows you to specify that the event only occurs every 2nd or 3rd year.

Annual Event:

Monthly events proved an option "On the" so you can specify if the event repeats on a fixed date (such as the '10th') or if it repeats on a fixed day (such as the '2nd Tuesday'). The 'Every' option specifies whether the event repeats every month, or only every 2nd or 3rd month.

Monthly Event:

Weekly events provide an Every option to define whether the event repeats every week or less frequently. The 'Repeats On' allows you to check boxes for the seven days of the week. This is a powerful way to define events that reoccur weekly and occur on more than 1 day.

'Every' Intervals

The Every option sets a repeat interval. E.g., if Every is set to 2 an annual event will repeat every other year, or a daily event will repeat every other day. Another example is set a monthly event to have Every of 3, and the event will repeat every 3 months. Another example is if you want an event to be the same day of the week once a year, choose weekly and set Every to 52 weeks.

Biweekly & Bimonthly

The 'Every' field makes it easy to specify biweekly & bimonthly events. Choose a repeat interval such as Weekly and then type a "2" into the Every field. This sets up a repeat interval of every 2 weeks.

Repeat Multiple Years

The 'Repeat' option allows you to specify that the event will occur again in following years; it is ideal for seasonal event that reoccur every year. The Repeat option is available for Monthly, Weekly and Daily events. E.g., define a Fall gardening project as Daily for October 1 through November 15 and set 'Repeat' to a value of "1", and this monthly event will repeat every year on Oct 1-Nov 15.

Skipping a Repeating Event

Click on any existing repeating event in your calendar and the dialog will show a 'Delete Day' button. Click it to turn off the event for that particular day, e.g., if your weekly Wednesday bowling team is not meeting the week of Thanksgiving.
