Notifications

KeepandShare automatically sends your friends a 'notification' message instantly as soon as there is new information in your account for them.

Notification messages appear in the Dashboard under 'Shares & Comments':

Notifications tell you who created the new information. If there is a yellow 'Commented', it means it's a comment on a document or album. Otherwise it is a newly created or edited document or album. Click on the notification to immediately view the shared item.

In this screen shot of the Dashboard you can see the user has received numerous notifications. The third, fourth and fifth notification are non-bold to indicate they have already been viewed:

These notifications are KeepandShare's version of "You've got mail!" Just as an email in box provides you access to all recent emails, Fresh Shares Comments are an 'in box' for easily seeing links to all newly shared information.

Notifications via Email

If your friends are not logging in and viewing their dashboard, don't worry, they will be emailed a summary of all unviewed dashboard notifications. Notifications are sent to anyone that you've shared with, including people who only have a Guest Pass.

Your friends can control the frequency of Dashboard Update emails - choosing to receive notifications immediately, hourly, daily, weekly or never.

Notifications via Text Message

Each user can configure their account's Email & Phone Settings page to have one or more mobile phone numbers. They can opt into having notification messages sent to their phone via text message in addition to, or instead of, via email. The recipients are in control of how they receive notices from KeepandShare.

Who Receives Notifications?

Every shared item sends notifications to these users:

  1. Accounts explicitly included in the Share List.
  2. Accounts in share groups that are on the Share List.
  3. Accounts who have 'subscribed' to your 'Public' shares.

Note that for someone to receive notifications they must have a KeepandShare account - if they only have a Guest Pass they will not receive notifications. We require this to ensure they can control the receipt of emails to their account - e.g., do they want to get the alerts immediately, hourly, daily or weekly. By having an account, they can control the frequency of notifications they receive from KeepandShare.

How to Stop Notifications

Clear the 'Alert Friends' checkbox in the sharing control to stop all notifications:

Every file, folder and calendar has it's own sharing control and can have Alert Friends checked or clear as you please. So be sure they have the Alert Friends box correctly set.

In the accounts of those with whom you share, they can control the frequency of receiving emails or text messages of notifications by using the Email Settings panel in their account.

What Actions Generate Notifications?

The first time you share an item with someone they are always sent a notification.

In addition, if you have the 'Alert Friends' box checked (see below), these actions generate notifications:

  1. Edits to a calendar.
  2. Edits to a file, document, album, folder or other item that was already shared with others.
  3. Someone posts a comment.

A notification to others is never generated when you are viewing your own information.

Alert Friends

Notifications on a shared item are only sent if you check the box "Alert friends"that appears in the Sharing control:

This box is checked by default. When it is checked, everyone in the share list receives notifications in their Dashboard. The notification message includes your account name, the title of the item, the time of the edit, and a link to the item.

Likewise, whenever anyone creates, edits or comments on an item that they have shared with you, and the "Alert friends" checkbox is checked, a notification message will appear in the Fresh Shares section on your Dashboard.

To stop notifications from being sent to anyone, just uncheck the "Alert friends" checkbox on the edit page.

Block Subscribers

When you share information with the 'Public' share group, other users who are not on the share list will receive notifications if they have subscribed to your account.

However, sometimes you might find your friend doesn't want to receive Public notifications from you. E.g., your friend is a work colleague but most of your Public shares are for your family. In this case, you can simply block your account from ever sending Public notifications to the work colleague's account. They will still receive notifications if you have explicitly included their account name in a Share list. Think of this blocking capability as a sort of "Do Not Notify" registry. Here's how to block others from receiving notifications of your 'Public' shares:

  1. Click on 'My Account' at the top of your screen.
  2. Click 'Block Subscribers'.
  3. Enter in the KeepandShare account name to block.
  4. Click 'Block Account Name

Block Senders

If you don't want to receive notifications from a particular user you can block their account from sending you notifications. Think of this capability as a sort of "Do Not Call" registry. Here's how to block other accounts from sending you any Dashboard notifications:

  1. Click on 'My Account' at the top of your screen.
  2. Click 'Block Senders'.
  3. Enter in the KeepandShare account name to block.
  4. Click 'Block Account Name
If you have subscribed to another user and you simply want to stop receiving notifications of their Public shares, you can stop subscribing to their account by using the Manage Subscriptions screen to remove your subscription to them.

You will then not receive any notification messages of activity in that user's account.
