Sharing Concepts Overview

Sharing is KeepandShare's most powerful and unique feature because it allows users to access, view and edit each other's information while providing each user complete security and control over what is shared and what is kept completely private to their account.

Sharing is built around several simple concepts. The Friends List is a list of KeepandShare user names that is the universe of which users you want to share with. Share Groups are a way to create a list of friends so it is easy to share information with this group again and again. You assign individual friends to be members of share groups.

There are two aspects to sharing:

  • Whether another user can access information in your account
  • Whether another user is automatically notified of new information in your account

Access: by default, all user information in KeepandShare is kept completely private so that only you can view it, but you can choose to share any item or folder with other users by using the "Share With" controls. You always control which users can access your information, and whether they can only view it, or if they can also edit it. When another user accesses information you have shared, they are said to be visiting your account.

Every KeepandShare account has a built-in web page called its "share page". Share pages are web addressable and the top portion of the share page can be customized by you to have any content / graphics you like. The bottom half of share pages act as an automatic portal, providing the visitor access to any documents, blogs, or information to which you have granted them access.

Notifications: are one of KeepandShare's most powerful features since they tell your friends whenever you have created, edited, or commented on items they might be interested in - i.e., on items you have shared with them. Similarly, you are automatically notified whenever your friends have made changes to items they shared with you. Notifications show up in your Dashboard under "Fresh Shares" and "Fresh Comments".
