Guest Passes: Share with Email Addresses

What are Guest Passes?

Share Privately with Anyone. To give secure, private access to others, they do not need to have a KeepandShare account. Just type in their email address(es). If there is a KeepandShare account associated with that email address, your information is shared with that account. Otherwise, if they do not have a KeepandShare account, they are sent a 'Guest Pass' email with a secure link and password for private access to your share.

Guest Passes are synonymous with 'Share with an email address'. Not only can you share with other KeepandShare account names and KeepandShare share groups, but by typing in an email address, KeepandShare will automatically either find the matching account name, or, if no account name exists, send a guest pass to the email addresses you typed.

Guest Pass passwords can be used an unlimited number of times to view information shared with that email address. Guest Passes can be optionally upgraded by the pass recipient to full access KeepandShare accounts.

How to Issue a Guest Pass

Type or paste an email address into the white box 'sharing field' at the bottom of a Sharing Control. The email address is added to the list and shows an icon of an envelope), indicating a guess pass email will be sent once you save your changes:

When you then save the sharing settings a guest pass is emailed to that email address (unless they already have a KeepandShare account, in which case they'll receive a normal notification of the new share).

The sender of the guest pass also receives a copy of the guest pass email, but your copy will have the password hidden.

Save Guest Pass Links for Easy Reuse: The yellow button has a link that takes the user directly to the item you shared. You can save and reuse this link. A full copy of the guest pass link is provided lower in the guest pass email. Save and bookmark the link whereever you'd like.

What Can Guest Passes View?

When a guest pass is first issued, the recipient will receive an email with a link to the item you shared with them. That is all they can view.

If you subsequently type their email address into other sharing controls, then the same guest pass can be used to view all the items you share with them. It's very convenient for the recipient - they only need to use one Guest Pass password to access all the items you share with them.

Guest Passes are Added to your Friends List

Whenever you share with an email address, it is added to your Friends List to make it easier to share with them again.

Notification Emails

The first time you share with someone who is new to KeepandShare, a guest pass email will be sent. No further emails will be sent until that guest pass recipient "verifies" their email address by logging in with their guest pass.

Once the guest pass has logged in a first time, thereafter whenever there is new information in your account KeepandShare automatically notifies all your friends, including Guest Pass owners. KeepandShare generates dashboard notifications that link to the new information. KeepandShare also sends notification emails to your friends. Guest pass owners can use their email frequency settings to control how frequently they receive these dashboard update emails.

Group Sharing with Guest Passes

Group members do not need KeepandShare accounts: paste your friends' email addresses into any sharing control. They are emailed a secure link and password to your shares. It's that easy.

After you've shared with an email address, they will show up in your Friends List and they can be placed into share groups.

Upgrading Guest Passes

Benefits

Recipients of guest passes can choose at any time to 'upgrade' a guest pass to a 'full access' KeepandShare account. Upgrading provides these benefits to the Guest Pass owner:

  1. They pick their own password.
  2. They pick their own account name (and all occurrences of the old Guest Pass ID will automatically be updated).
  3. They can optionally provide the 'First Name' and 'Last Name' on their full access account. This makes it easier for others to share with them.
  4. The free full access account gives them their own fully enabled KeepandShare account. Their account includes full online calendar, file sharing, photo sharing and to do list management.
'Upgrading' a Guest Passes is free (unless they choose a Premium account). Upgrading is synonymous with converting the Guest Pass into a normal, full-access KeepandShare account.

How To Upgrade

Follow these steps to upgrade a guest pass into a free, full access account:

  1. Click on the yellow button in your Guest Pass email.
  2. If prompted, enter your Guest password.
  3. You should now be viewing the information shared with you.
  4. Scroll to the top of the screen.
  5. Click on the blue link 'Upgrade to' at the top center of the screen.
  6. Choose a plan and upgrade (choose the 'Basic' plan if you want a free account).
