Planning a wedding often turns into a quest for less expensive options. This handy guide explores several avenues that a bride and her groom can take to save money on one of the largest expenses of a wedding- the reception.

Since the reception is one of the most expensive features of a wedding along with the honeymoon and engagement ring, saving on the cost of it could save the bride and groom hundreds of dollars. This might not seem like an easy task initially, but in all honesty, there are numerous strategies that the happy couple can use to save money on this aspect of the wedding.

Saving on the Reception: Cutting the Guest List

The most drastic method of saving money in this instance would be to cut the guest list. Take a long look over the wedding guest list scrutinizing it for people who have been included that don’t need to be. After all, do you really need to invite someone that neither you nor your parents have seen in twenty years? The purpose of the wedding reception is to gather all of your closest friends and family together to celebrate this happy event. How close can someone be if you haven’t seen them in twenty years?

If you save on the number of guests intended for the reception, you will also be able to save on the cost of the centerpieces if they haven’t been included in the quoted price for the event. Plus, you will save on the cute wedding favors, monogrammed napkins, gorgeous cake, and more. Cutting the guest list can really lead to some huge savings.

Saving on the Reception: Demand Lower Prices for the Under 18 Crowd

Since most establishments charge approximately forty or fifty dollars extra if not more per individual and since individuals under 18 are not allowed to drink alcohol, demand an appropriate price for them. Of course, you need to do so graciously. In fact, start off by asking for a child’s menu that might be as low as one fifth of the cost of the adult meal. A child’s menu usually does not include the same type of food, but rather it offers foods that the younger ones typically enjoy.

Most establishments are amenable to this, but they will have an age cut off for it. Therefore, you will need to negotiate a lower price for those children who will be served from the adult menu, but who will not be able to imbibe any alcoholic beverages.

Saving on the Reception: Centerpieces

Some establishments charge a separate fee for centerpieces. Others include the cost for them in their quote. No matter which way it is done, typically, you can ask to have that cost deducted from your overall price so that you can obtain your centerpieces elsewhere. Perhaps you have a family friend or relative who will sell you these lovely displays at cost. If not, you can always create centerpieces on your own much less expensively than paying the thirty-five dollars or more that the reception location is going to charge you.

One other thought to keep in mind is to ask if you can receive a discounted price from the establishment rather than go elsewhere. Sometimes the managers will accommodate this request since they can deduct the discount from their side of the profit. Most establishments use an outside florist to supply these centerpieces anyway, so you are paying twice to line someone else’s pockets.

Another incredible way to save on the cost of the centerpieces is to arrange for larger tables at the event. Some establishments offer more than one table size or the option to seat different number of guests at each table. If you opt to seat the maximum number of guests at the table, you can save on the cost of the centerpieces by having fewer to purchase.

Saving on the Reception: Arrange Close Proximity between Events

Since many vendors charge by the hour, arranging for close proximity between the ceremony and the reception can save quite a bit of money. For example, if the bride and groom are having flowers delivered to both locations, they will be charged for the time to deliver first to the one location and then to the second location. If both of these spots are closely situated, the delivery cost will be less. In fact, if the ceremony and the reception take place at the same location, there will only be one delivery fee. Plus, the bride and groom will not need to arrange for transport for any of the flowers that they are keeping from the wedding.

Saving on the Reception: Consider Off Peak Seasons and Days

Almost everyone is aware that shopping and buying on the off peak seasons is one of the best ways to save money on the cost of everything from the meal to the decorations to the location. Do a bit of research and ask the reception locations that you are considering when their off peak season is. Find out how much less expensive it will be if you decide to book your wedding reception then instead of during the busy times of the year.

Moreover, certain days of the weekend are less expensive than others. Saturday is the most expensive day. Therefore, if you choose to have your wedding on Friday night of Sunday afternoon, you can save hundreds of dollars on the overall cost of the wedding reception. Additionally, planning a Saturday afternoon event is generally cheaper than a Saturday evening affair.

Saving on the Reception: Shop Off Season

If you are planning some do-it-yourself decorating, shop for these items off season. Holidays are short-lived, often leading to clearance sales that provide greatly reduced prices. In fact, seasonal sales often include items that can be used at wedding receptions or rehearsal dinners including fancy vases, napkins, and other clever pieces of décor.

Saving on the Reception: Switch the Champagne Toast

In many cases, the champagne toast is a separate fee that is charged per guest. Typically, this fee is two dollars or more per person depending on the particular establishment that is used to hold the wedding reception. One option for lowering this amount is to ensure that you are not charged for any underage guests. Another option is to request sparkling cider instead of the champagne. Depending on the number of guests that the bride and groom have attending the affair, this change could save a couple hundred dollars off the cost of the bill.

Saving on the Reception: Negotiate Minor Necessities

Once you are narrowing down the details of your agreement with the reception hall manager, you are in a position to negotiate minor details that would typically cost you additional money. For example, if you are having a number of diabetic guests attending the wedding, you might want to provide sugar-free desserts for them. Ask if you can bring them in from outside the establishment. The answer will undoubtedly be no, but you will have staged the negotiating arena with you in the bargaining position since you have already been turned down once.

Now, ask if the reception hall can provide at least a small number of these desserts within the dessert arrangement at no extra cost. After all, since these guests will be enjoying their sugar-free desserts, they won’t be eating the regular ones. In most cases, you should be able to get at least one or two of these sugar-free treats at no extra cost to you. Remember that this is only one example and you can follow it through with other items that you might need.
