Welcome to the KeepandShare Calendar. In our first quick lesson we'll learn how the Keep & Share Calendar is as easy to use as a wall calendar.
Just click on any day and type to add an entry. Click Next Month to move forward one month. We'll note another appointment. Click on Prev Month to go back one month. You can enter more text than will appear in a box.
Here we'll hit two carriage returns and note another meeting. You can use the arrow keys to move up and down in boxes that have lots of text. You can make unlimited notes on any entry. Here we'll note a phone number next to an important meeting and for the board meeting on the 8th, we'll make a note to bring some project files.
Of course you can always select text and use common right-click commands such as copy & paste to edit your calendar. You can also select text and just drag & drop.
Now for a quick lesson in printing. Now watch how easy it is to print your calendar. Clicking on the green print button easily prints your current calendar. Here we are choosing 2009 and all of the months. Or 2008 and just the months of June and July. You can choose different layouts for your calendar, different fonts, and different sizes of font letters.
Click Ok to generate your PDF print out. The PDF print out will appear inside your browser as another tab or in a new browser window. Use its printer icon to do the final step in printing or click on the disc icon to save the PDF file to your hard drive.
Now let's learn how to enter Repeating Events such as birthdays or monthly meetings. These underlined events that are at the top of July 8th & 9th are two repeating events that have already been defined. To edit the Repeating Events, simply click on it to bring up the Repeating Event dialog box. Here we'll edit the text of the Rotary Club event and change its color, then click on Save. Note that the new color appears in the July 16th event.
Keep & Share makes it easy to have birthdays and other repeating events appear automatically in whatever calendar you would like. Click on the green Repeat button, choose a start date for the new event, and enter text into the box. In this case it’s a birthday so repeat annually and we'll choose orange. Click on the green repeat button to define another Repeating Event.
Choose the start date. In this case we want to change the Repeat Event to monthly since it’s a monthly event. Also notice that you can have the Repeating Event be the second Thursday of each month. Type the text in. Hit the color you would like the event to appear in within the calendar, and click on Save. And there it is on July 10th in blue.
Click on the green Repeat button again to define our third event, choose the start date, click on the weekly box under Repeating Event. In this case a weekly event, type in the text, we'll choose the color green since car pools are environmentally friendly. And there you see that this event also appears in the calendar.
Now let's learn how to share your calendar. Click Customize to securely share your calendar online with work groups, friends, and family use the Share With controls which will give others the right to view or view and edit your calendar. You can also select the predefined public access which allows everyone to access your calendar.
Since this is a personal calendar, we'll select the share group Family. You'd click on the edit box if you want them to have edit rights but in this case, we'll give them view only rights. Then click Update to commit your changes. The Family has now been with the Family Group, which we had already set up. To define your own share groups click on the blue Share command.
It’s easy to turn on standard holiday schedules in your calendar. Click on Customize and click on the holidays to turn them on or off. Click the blue Update button to commit your changes. We've just added three holiday schedules. They're a little hard to notice here in July, so let’s move forward to November. It’s a real help to have all of your holidays show up in your calendar.
You can also easily specify a name and description for your calendar. Click on Customize once again and type into the name field. The calendar name helps others when they are visiting it or on a printed calendar. Click Update to commit your changes.
Because we all live busy lives, Keep & Share allows you to have up to nine separate calendars. Go to the Number of Applications pull-down and choose how many calendar tabs you would like to display in your calendar system.
For this example we'll choose three. Note how the original calendar tab hasn't changed. This is your second calendar and your third calendar. Our sample user, Chris, is using the third calendar for an exercise log and the second calendar for his gardening journal. The gardening calendar doesn't look like much yet, bur lets zoom in by clicking on the day calendar.
Now look at all that text in the gardening journal. Besides overlaying the standard holiday calendars you can also overlay any of your other nine calendars. Here, I'll turn on Chris's exercise calendar. Number three, in his main personal calendar. Notice that the violet exercise activities are showing up at the top of each day box on his main calendar.
You can even overlay calendars from your friends Keep & Share account. Chris has a friend Jackie, who has given him permission to use her calendar. Let’s show how we can show Jackie's calendar inside Chris's personal calendar. You can name your overlays, in this case we'll give Jackie's calendar the obvious name and you can pick custom colors for the overlay. Here we'll pick purple. Click on the blue Update button, and here you can see Jackie's calendar has appeared in the list. And now you can see Jackie's vacation is showing up purple in Chris's calendar.
Your Keep & Share calendar is easily customized. For instance, if you resize your browser window notice that your Keep & Share calendar gets smaller as your window gets smaller. And it gets larger as your window gets larger again. You can also make your browser window full screen to give yourself the largest possible box sizes.
At any time you can switch between month view, week view, and day view by using this handy pull-down menu. Week view gives you seven days of the week with much larger boxes. The day view gives you a zoomed in view of just two days. The Keep & Share calendar holds virtually unlimited amounts of text in each day. Well, up to about 10,000 characters that is. So the day view is useful when you are entering lots of information.
A handy short-cut to zoom in on a day's calendar, is simply click on the date. Clicking on a day number and month will take you to Week View, clicking on the day number again takes you into the Day View. Note that here on July 11 the user has pasted in a lot of trip information confirmation so it will be handy when they need it. It’s easy to return to the current week at any time by clicking on the blue bar This Month command.
The Go To button makes it easier to go around to any point in your calendar. Let’s schedule a few days of vacation in September. I like to block out dates on my calendar with big, easy to see and easy to read notes like this. Copy and paste makes it easy to fill out the calendar quickly. Click on this month to return to July again.
Finally, you can also move around your calendar using the search button. Simply click on the search button and that will take you to a window where you'll be able to type in the event you are looking for. Make sure your time frame covers the period of time that you're looking in and simply type in the name of the event that you are looking for. In this case we use Presentation. Then click Search Now. It then opens up a list of all the days with that word in it. Simply click on the Go To by the event you are looking for and it will take you to that date.
Whenever you update your calendar your friends will also be notified by Keep & Share. For instance, notice how our dashboard has given us some indication our friend Jackie has updated her calendar. Also notice how today's and tomorrow’s pages always show up on the left side of your dashboard.
