How difficult is it to implement new software into an already operating business?

It depends both on the business itself and on how actively old systems are being used. Obviously there will still be adaptation and setup involved, but now developers, this company for sure, try to implement solutions gradually so they don’t break existing workflows. So for me, the main part of the work is actually not integrating something new, but carefully choosing the people who will create and implement it.

But isn’t this actually the path toward a simpler and clearer workflow, where first you learn, and then things become much easier for you? Everything requires training and time to get used to, there’s really no way around that.

I don’t want the whole established system to fall apart. Everyone has spent many years getting used to working the way they already work, and now suddenly everything will be different. I know that anything new causes a lot of resistance, and I definitely don’t want to make my team’s work more complicated.
