 How Group Trips Work

BC -2012

Our site is the only travel site where you can obtain Group Discounts & Incentives even when you travel alone!

Our goal is for every trip to reach a minimum group of 25 people or more.          With that said, if we can fill a boat, we will fill it! If we can fill an arena, we will fill it! If we can get you a discount, we will get it!

To receive your discount, just register for any Group Trip knowing that if it's size reaches enough people to qualify, you will get a great GROUP DISCOUNT. If it does not reach enough people to qualify you will pay no more than the maximum price that is shown on the trip ( Which is often the same price or better than most other sites anyways ). You can also help youself by promoting your trip on your other favorite sites and finding more people interested in taking the trip with you!

Group Trip FAQ's are below this slideshow:

By signing up for any trip you may be eligible for GROUP DISCOUNTS. Even if you travel alone, or with just a few other people we will match your plans with other Members who pick the same trip as you before we get the final price quotes. Travel Pals Online works with various travel agencies to put together dream vacation packages and cruises that we think you and our other Members would be interested in.                                         Thank you for your interest in this trip! Please complete this sign-up page. When we have reviewed                                         this submission form, we will send you a PayPal request for the deposit to the email you provide.                                         You will have 48 hours to make the initial deposit. We will be taking deposit orders for this trip                                         until the Cut-Off Date, so we do not yet know how large your group may get. By submitting this form you                                         are agreeing to be contacted by Travel Pals Online.com, LLC or our Participating Travel Agent ( PTO ) if                                         or when needed. We will take the final payment from you at a later date. If enough people sign-up for                                         this trip then you will get the group rate disounts offered on our dicount chart. If this trip does not                                         qualify for the additinal group discounts we offer becuase not enough people sign up, you can still enjoy                                         the trip at the offered start rate.                                  *Your final/actual price will be determined by how many other people join this Group Trip. ** Minimum Cost is based upon a minimum of 25 total people joining trip and based on Single Occupancy Rates.

The basic process of a Group Trip

Can't find the perfect trip?

The basic process of a Group Trip

What makes our site different from typical travel sites is that our trips offer prices at both group rates and at individual rates. We cannot guarantee that anyone else will sign up for the same Trip you may want to take. Because of this, we display the projected minimum you would pay ( based on 24 other people signing up ) and the projected maximum you would pay if you are the only person to sign up for a particular Trip. On most sites the rates you see are based on the cost of 1 or 2 people taking a trip.

To join a Group Trip, click on "Search Group Trips" and narrow the selection down to a trip that you wish to go on. Each trip has a Gropu Trip Details page. This page has the specifics of the Trip and allow you to make a decision if this might be the right Trip for you and anyone you may be travelling with.

The Group Trip Details page shows a cut-off date that will tell you when the last date to sign up for a quote is & to make a deposit if required. Simply RSVP for the trip by clicking “I’ll be there”. This will take you to a simple form to fill out to get some basic information from you about yourself and anyone else you will be traveling with. Don’t worry about paying for the Trip right away on the site or making a final decision to go just yet. By filling out the form you are giving permission to be contacted by our Travel Reprsentative ( agent ) that the trip is being offered through. They will contact you to give you more details on the trip, collect payments or deposits, and will act as your official contact regarding your trip.

Can't find the perfect trip?

If you don't find the Group Trip that's right for you, or if you have your own group of travelers for a trip you have started planning you can send a trip request to us. We may just add it to our site. To make a trip request use the drop-down link from the 'Group Trips' section of our main menu / header.

How much can I save? ( Group Trip Discounts Chart )

Check each Group Trip to see if it has a GUARANTEED GROUP DISCOUNT ( GGD )or not. Some trips may not have a GGD.

For Group Trips that offer a GGD you will find a link or display of the GGD that will look like this: ( SAMPLE )

NOTE: If our supplier / Travel Representative offers additional incentives or price breaks at the time they book your trip, we will pass on the additional savings or benefits to you & your group.

BRIAN COME BACK -

Refunds will be credited to the account you used to pay for your trip through PayPal no later than 30 days after payment in full is made. Are there any other incentives for booking with Travel Pals Online? Many of the travel and tour suppliers we use offer certain specials and incentives only to travel agencies. The incentives may include excursion cash to give away to our group members, private parties or services, upgraded rooms & more. Our agents will try and negotiate the best deals that they can. These specials may vary depending on the trip you take. ** Please note that prices are advertised based upon one person sharing a twin bedded room, so supplements or reductions may be applied for room types other than twin bedded. Most Suppliers offer ROOMMATE MATCHING on most tours. If you are a single traveler they can match you with someone of the same gender - simply plan to book a twin room and there will be no need to pay a single supplement. Please ask our Preferred Travel Agent for any additional details or concerns.

Do I need any vaccinations?

Do I need a passport or travel visas?

When will I receive my travel documents?

How much luggage can I bring?

How much money should I bring?

Do I need any vaccinations?

You should consult your travel agent ( who will contact you after registration ) or doctor to find out which vaccinations are required. If you suffer from any form of illness, be sure to have an adequate supply of medicines before departing on your trip.

Do I need a passport and travel visas?

Depending on your nationality, you may need visas to enter certain countries included in your trip. You are responsible for obtaining all necessary visas prior to the departure of your trip. Consult your travel agent or a visa service well in advance to determine which visas you will require and how to obtain them. Important: visas can take up to six weeks to obtain and a fee is normally charged. Failure to obtain all necessary visas could cause you to miss part of your trip and will result in considerable expense and inconvenience. It is better to apply for ALL visas through your travel agent or visa service before you leave home www.embassyworld.com and Zierer Visa Services www.zvs.com

When will I receive my travel documents?

Consult with the travel agent who to find out when you will receive your travel documents which may include : vouchers, airline tickets, a day to day itinerary, an optional activities list, and other material.

How much luggage can I bring?

You should check the details section for infomation about luggage restrictions or requirements for any particular trip. Typically we recommend that your luggage consists of one reasonable sized, non-expanding suitcase and one small hand/day bag that can be caried with you. Note: Baggage is carried at the owner’s own risk and baggage insurance is strongly recommended when available.

How much money should I bring?

This answer will depend on your travel style and how much you may like to buy on your trip. We recommend using local ATMs along the way to get local currency, and travelers’ checks in small denominations (in a main currency) are a good way to carry your personal spending money. For example: In Europe, carry travelers checks in US$, GBP$, or Euros. In Australia or New Zealand, carry Euro, US$, GBP$, DEM$, NZ$ or A$. In America, carry US$ travelers checks. You can also get cash at local ATMs along the way. Remember that you’ll need to allow enough to cover lunches, some dinners, shopping, entrance fees to some attractions, optional activities and activities, souvenirs, drinks and evening entertainment/nightclubs.

You will be contacted within 1 week from the end of the sign-up period which is typically several months before the trip is to take place. If you wish to announce your trip plans to other Members and visitors to the site you may click "Attending" at any time on the Trip Details Page.

Are my travel plans and Pal Profile information private?

Your information will be kept private by us and you will not be shown as 'attending' on the Group Trip Details page unless you volunteer this information. If you wish to announce your trip plans to other Members and visitors to the site you may click "Attending" or "Interested" at any time on the Trip Details Page. Please note : Travle Pals does NOT verify that the Members who are listed as "Attending" have officially joined the Group Trip or have actually submitted a "Join Group Trip / Reservation" form. Thus, sometimes a Member may indicated that they are attending a trip, but have not actually registered for the trip.

Should I recruit other people to join my trip?

We encourage our Members to help us spread the Group Trips that they are interested in on other websites, blogs, and through other methods at their disposal. Each Group Trip Details page has sharing tools as well as a widget that can be placed on other sites. Using these tools is always optional, but are a great way to spread interest in a particular trip and our site. Remmeber that the more people who go on any given trip, the better the chances each person has for a great group discount. Without enough people to claim a group rate the prices of our trip will only match what other sites offer. Our goal is to have the biggest groups ever generated for traveling.

How do I make a change in my reservation?

After the sign-up perioed ends your contact will be with the Travel Representative or Agent that you made your Group Trip reservation through.

Can & should I purchase travel insurance?

Preparing for your Group Trip should include protecting yourself from unforseen occurrences. When available, purchasing a travel insurance plan can help protect yourself against cancellation penalties, medical costs, baggage loss and delays, and many other benefits. Check with our Travel Representative for the availability of insurnace on any particular group trip.

Is airfare included or available?

You will have to read the Group Trip Details page for information about airfare. Beacause our Members will be coming from many different locations around the world, most Group Trips do NOT include airfare. However, some Group Trips may offer airfare, but typically from one airport which will be the designated 'meeting point'. In these instances, the cost of arriving at the meeting point will be left to the individual travelers. From the meeting point, the airfare will be provided with a designated return point.

Example 1 ( NO Airfare ): Group Trip to Europe will typically start and end in a given city. In this case it would be up to each person to arrive in that loaction at a designated time. If the Member is coming from another Country or from a long distance, it will be up to them to make arrangements to be in given location at the designated time to start the trip. After the trip they will be responsible for making arrangements for their return home after the Group Trip.

Example 2 ( With Airfare ): Group Trip to Europe may start and return to Atlanta, GA. In this case it would be up to each person to arrive in Atlanta at a designated time for a designated flight. If the Member is coming from another State or from a long distance, it will be up to them to make arrangements to be in Atlanta at the designated time and to make arrangements for their return after the trip.

Don't forget that you can find great prices on airfare using "Book Now".

What if I need to cancel my Group Trip?

You will need to check with the Travel Representative for information on cancellation terms. Each trip and each trip type may have varying policies regarding cancellation.

What are the cancellation fees?

You must check with the Travel Representative for information on cancellation terms. Each trip and each trip type may have varying policies regarding cancellation.

Are prices based on double occupancy?

Your final/actual price will be determined by how many other people join your Group Trip. Minimum Cost is based upon a minimum of 25 total people joining trip and based on Single Occupancy Rates. Typically Group Trip Details page include prices for single occupancy as well as double occupancy. When you complete our Group Trip Reservation form you will be allowed to choose between a single, double or other occupancy accommodation. Some tours offer single occupancy for an additional cost, or triple- or quad-share for a reduced price.

What’s included in the price of Travel Pals Group Trips?

During Your Group Trip

Must I know the native languages of the countries I am visiting?

Is there an extra charge for traveling alone?

Can I re-charge my mobile phone and digital camera on tour?

Do you have a frequent traveler program?

Must I know the native languages of the countries I am visiting?

Typically you do not need to know the language, however, if you have some time, it never hurts to know a few courteous, friendly words (e.g., hello, please, thank you, etc). It does make traveling more fun and you will find that most natives appreciate the effort and will be more receptive to your visit.

Is there an extra charge for traveling alone?

On Group Trips that include room & board based on double occupancy you will have a choice. If you want your own room, and one is available, it may be offered for an additional surcharge, depending on which Group Trip you are booking. However, if you don't want to pay for a single room, our Travel Representative will set you up with a roommate of the same sex.

How many people will be on the trip with me?

That depends on where you are going, which tour company may be providing the trip, and how many people are taking the Group Trip and their standards of operation. If information is available on this subject it will be presented on the Group Trip Details page.

Do you have a frequent traveler program?

At this time WE ( Travel Pals Online.com, LLC ) do not have a frequent traveler program, but we hope to in the future. However, you should ask your Travel Representative about programs that may be available through their agency.

Can I re-charge my mobile phone and digital camera on tour?

In each country there will be varying pins and power plugs to electricity sources to recharge your mobile phone, MP3 player, or digital camera batteries. We suggest purchasing a Travelers’ Plug (adapter) to fit the plugs in most countries, as well as a converter for the appropriate voltage. We also suggest bringing a sufficient supply of batteries to last you through your vacation.
