Hello to all forum members; I’d like to ask for advice regarding the automation of our field service operations. Our company services commercial HVAC systems and refrigeration equipment in data centers and logistics facilities, and recently we’ve been facing significant delays in billing our clients. Here’s the situation: Last week, a crew was called out to a site in the middle of the night due to an emergency shutdown of a precision air conditioner. The engineer spent nearly five hours there, replaced the high-pressure sensor and the filter-dryer, got everything up and running, but left the paper work order with the security guard on duty, who proceeded to lose it. As a result, the accountant didn’t find out about the service call until four days later, when the client called to ask where the documents were. The parts weren’t written off from inventory, the technician sent photos of the completed work via a personal messaging app without linking them to the equipment, and the customer refused to pay for overtime without clear documentation. We’re now trying to completely eliminate this paperwork-heavy routine and are looking for a unified solution where technicians’ work records are automatically linked to the accounting department. If anyone has encountered a similar situation, please let me know how convenient it is to use specialized software like Serfy field service software, which features automated report generation, online write-offs of parts from service vehicles, and instant invoice sending after a signature is obtained on a smartphone screen? I’m very concerned about how the mobile app works in underground server rooms or technical floors where there’s no cell service at all: Will completed digital checklists and attached photos be lost before they’re uploaded to the network? I’m also curious about how you organize regular scheduled maintenance so that the system automatically generates work orders according to a schedule and stores the entire repair history for a specific unit based on its QR code. Thanks in advance for your practical advice and real-world experience! |
